Collaboration Management

Your Campaigns

Your campaigns live in the Collaborations view — this is the main hub where you create, organize, and track all your creator partnerships. Each campaign groups collaborations together so you can manage budget, progress, and creator activity in one place.

Campaign lifecycle

Every campaign has a status that reflects where it stands:

Planned A campaign starts as Planned when it's been created but no proposal has been sent to or received from a creator yet.

Active A campaign becomes Active as soon as it has at least one active collaboration — meaning a proposal has been sent to or received from a creator. Published (Live) campaigns always stay Active.

Completed A campaign moves to Completed once all its collaborations are finalized. Campaigns with in-review collaborations may appear as Active or Completed depending on the stage.

Automatic archiving

To keep your workspace clean, Passionfroot automatically archives inactive campaigns.

A Planned campaign with no active work is archived after 7 days of inactivity — for example, campaigns with only stale drafts, cancelled or rejected collaborations, or no collaborations at all.

An Active campaign with no active work is archived after 15 days of inactivity. If the campaign has confirmed collaborations, it is not archived — confirmed collaborations protect it.

A published (Live) campaign is never automatically archived or completed.

💡 Archived campaigns are hidden from your active views — they're not deleted. If a campaign was archived by mistake, contact support to restore it.

An Active campaign can also move to Completed automatically after 15 days of inactivity — as long as there are no pending payments and at least one collaboration has a submitted report.

If a new active collaboration is added to an Archived or Completed campaign, it automatically becomes Active again and returns as a Private campaign.

Status updates run twice daily, so changes may not appear instantly.

Collaborations in the Inbox

Collaborations are now managed directly inside the conversation with each creator in the Inbox.

When you open a chat with a creator, a Collaboration panel appears on the right side of the conversation. This panel gives you a clear overview of the collaboration and allows you to manage key actions without leaving the chat.

From this view, you can:

Track the collaboration status

See whether the collaboration is confirmed, awaiting payment, or completed.

Review placements and deliverables

Each collaboration shows the planned placements (for example posts or slots), their status, and the publication date.

Manage payments

If a collaboration requires payment, you’ll see a Pay collaboration button directly in the panel.

Monitor progress

As creators complete placements and share reports, the collaboration panel updates so you can track progress in real time.

This setup keeps all collaboration activity - messaging, deliverables, and payments - in one place, making it easier to manage partnerships without switching between different views.

Inbox

Our Inbox feature lets you stay in touch with creators, review proposals, submit assets, and make payments—all in one place! Access your messages and collaborations seamlessly in one central location within your workspace.

For even more smooth communication you can send attachments in your chat with the creator be it files, photos, videos and lots more!

Take a look at the video below to see how the inbox and messaging feature looks like - and how it gives your entire team access to a shared inbox for managing conversations together.
