Passionfroot helps you get paid at the click of a button.
Managing payments on Passionfroot supports diverse user needs, offering tools like Stripe for credit card transactions and Passionfroot Bank Transfers for alternative methods, which are especially useful in regions where Stripe is unavailable.
Head to Payments, select the collaboration, and choose Request Payment.
Partners will receive an email with the payment link and the summary of their order and they can choose between credit card payment and Passionfroot Bank Transfer.
The payment link opens a payment page (see below). Partners can add their invoice details directly onto the invoice, pay and download the invoice afterwards.
Send a proposal together with a payment link
In case you’re sending a proposal to a partner, you can streamline the process by sending the payment link together. Choose Auto when sending a proposal. Once a partner accepts the proposal, they’ll automatically receive the payment link to pay.
Passionfroot Bank Transfers

How it works
Passionfroot Bank Transfers are initiated in the same payment flow you already enjoy.
Request payment
Simply request payment and sponsors will see an option to pay via Passionfroot Bank Transfer at checkout. This is the preferred option of many large brands.
Sponsor pays
Once the sponsor clicks on the Passionfroot Bank Transfer option they’ll get bank details for the transfer and be able to download an invoice for procurement (if needed). They can then initiate the transfer and we will make sure the invoice is updated as soon as the money arrives.
Track & receive payment
Our payment status indicators in your Payments tab will indicate the status of the payment depending on where the funds are.
How to get started
Bank transfers are only available for payments in USD at the moment. Always double-check your account details before submitting them to avoid issues. Keep documentation, such as bank statements or confirmation letters from your bank, ready in case verification is required. To ensure a smooth process for adding bank details:
Log in to your Passionfroot account.
Navigate to Account Settings > Banking/Payout Settings from your dashboard.
Enter or edit your bank details as prompted. This section includes both initial setup and updating existing details.
Verify the accuracy of the entered information.
Confirm and save the changes. Once completed, your bank details will be updated for automatic payment processing.
Invoices & Accounting
Passionfroot automatically generates all the invoices you’ll need for doing business and accounting. The invoices you need will differ if the sponsor pays via Stripe or via our Bank Transfer Flow as it determines who is Merchant of Record.

Stripe Invoices
If your sponsor pays via Stripe you are the Merchant of Record, Passionfroot is not in the flow of funds, and the Stripe Platform extracts our fee and pays it to us. Hence you will find two invoices in your payments page:
Invoice for Sponsor: This is the invoice that is shared with the sponsor, and that you can use for your accounting.
Platform Fee Credit Note: This is a credit note for the fee Stripe/we extract from you that you can use in your accounting to account for the fact that the sponsor invoice contains the fee amount on it.
Passionfroot Bank Transfer Invoices
If your sponsor pays via Passionfroot Bank Transfer, Passionfroot is a reseller of your sponsorship and acts as the merchant of record vis-a-vis the sponsor. Then you are selling your services to Passionfroot, in which you are Merchant of Record vis-a-vis Passionfroot. Hence you will find one invoice in your payments page:
Invoice for Sponsor: The invoice between Passionfroot and the sponsor featuring the full amount of the collaboration. This is not needed for your accounting, but we share it in case you should ever need to share it with a sponsor manually.
Seller payout invoice: The invoice between you and Passionfroot for your net payout. For example, if you sold an ad for $100 dollars and we charge a 15% sourcing fee, your payout invoice will show $85 as the payout amount.
External Payment Links
If you choose to share an external payment link instead of using our platform's payment system, you'll receive a friendly reminder. This reminder simply highlights some of the benefits you might miss out on, like payment protection, automated invoicing, and dedicated support.
Ways to get paid
Credit card via Stripe (global card acceptance).
Merchant of Record (MoR): Creator. Passionfroot is the Payment Settlement Entity (PSE).
Passionfroot Bank Transfers (bank wire via Passionfroot).
MoR to sponsor: Passionfroot. MoR to Passionfroot: Creator.
Currently USD only.
If Stripe isn’t available in your country, you can still receive payments via Passionfroot Bank Transfers (USD). Brands that must pay by card will need Stripe.
Requesting payment
Go to Payments → select the collaboration → Request payment.
The brand receives a payment link and can choose Credit card (Stripe) or Passionfroot Bank Transfer.
If you send a Proposal with Auto, the payment link goes out automatically after acceptance.
Partners can enter their billing details (company name, address, VAT, etc.) directly on the payment page before paying.
Passionfroot Bank Transfers
How it works
You request payment; sponsor selects Bank Transfer at checkout.
Sponsor receives bank details and a downloadable invoice for procurement.
Funds arrive; the invoice status updates automatically; you see status in Payments.
Setup
Add/confirm your bank details: Account Settings → Payments → Manage payout methods → Bank transfer (double-check accuracy).
Keep bank statements/confirmations on hand if verification is required.
Fees & deductions
Intermediary/receiving bank fees and FX may reduce your payout; Passionfroot can’t control these.
To reduce fees/FX, consider a USD-capable account (e.g., Wise) or an account optimized for USD receipts.
You never need to “cash out” manually—payouts are automatic once paid.

Non-EU cross-border B2B: often 0% (check rules).
Bank Transfer (Passionfroot is MoR to sponsor): Passionfroot handles VAT on the sponsor-side invoice.
Your payout invoice to Passionfroot follows your local rules (often reverse charge for cross-border B2B).

When do I get paid?
Status definitions
Pending / Awaiting payment: invoice sent; not paid yet.
Paid: brand has completed payment; funds are on the way.
Processing: transfer in flight / banking rails processing.
Voided: invoice canceled and no longer payable.
Timelines
Stripe (card) → funds go to your Stripe account immediately (less fees), then pay out to your bank per your Stripe payout schedule (commonly 2–7 business days, varies by country/account settings).
Passionfroot Bank Transfer → funds typically land in your bank within 3–5 business days after the brand pays. Weekends/holidays and international/intermediary banks can add time.
Troubleshooting delays (card or bank)
Confirm the invoice shows Paid in Payments.
Verify your bank details in Account Settings → Payments → Manage payout methods → Bank transfer, and check if no required information are missing.
Check if prerequisites (e.g., deliverable links) are required by the collab and still pending.
For Stripe payouts: review your Stripe dashboard payout schedule and balance.
For bank wires: ask your bank about intermediary/receiving fees or holds.
If still stuck, contact Support with the invoice ID.
To avoid delays, returned, or canceled payments — and if your payment currently shows one of these statuses — please review your bank details on Passionfroot and confirm that everything is correct:
The bank accepts payments in the currency you selected
All required fields are complete and accurate
The bank account country matches the bank details
Some banks need an intermediary bank to receive international transfers. We can only process payments to banks that accept SWIFT transfers directly in your selected currency.
Editing, voiding, and re-issuing invoices
Edit an invoice: not possible once created.
Price is wrong: edit the collaboration (Calendar/Chat); the system will void/re-issue where possible; then Request payment again.
Brand billing info is wrong: open the invoice in Payments, Void (if unpaid), then create a new payment request. The brand re-enters details on the new payment page.
Stripe business details wrong on the invoice: Void, update business info in Stripe, then create a new invoice.
UI not updating after amount change: likely because the previous invoice was voided; send a new payment request to generate a fresh, payable invoice.
How do I split payments or create multiple invoices?
Bookings with multiple slots create one invoice for all dates. To bill in parts—e.g., 50% before the posting date and 50% after—split the booking into two collaborations and send two proposals:
Proposal 1 (Deposit 50%): set price to 50% and set the due date before the posting date.
Proposal 2 (Balance 50%): set price to the remaining 50% and set the due date after the posting date.
Each proposal generates its own invoice and payment request.
Checking payouts
Stripe payouts: view paid/pending payouts and transactions in your Stripe dashboard (open from Payments settings).
Bank transfer payouts: funds arrive directly to your bank. Typical arrival is 3–5 business days after you recieved the notification that the brand has paid. You can track status in Payments.
Fees
Passionfroot currently applies:
15% sourcing fee on marketplace/managed-sourced collaborations.
5% platform fee on organic collaborations.
Cancel an invoice
Open Payments, select the invoice, click Void (unpaid invoices only).
Regions without Stripe (e.g., India)
If Stripe isn’t available, you can still receive payments via Passionfroot Bank Transfers (USD). Brands that require card payments must use Stripe; otherwise, bank transfer works globally. Add your bank details in Account Settings → Banking/Payout Settings.
Update my bank details
Go to Account Settings → Banking/Payout Settings, edit, and Save. Pending payouts can be redirected once the change is saved. Always double-check accuracy.
